This Privacy Notice explains how Pipeline Systems ("Pipeline Systems," "we," "us") collects, uses, shares, and protects personal data when you use the Pipeline Systems platform (the "Service"). We act as the data controller for personal data processed in connection with your account and use of the Service.
1. Personal Data We Collect
- Account data: name, email, password (hashed), company name, role.
- Profile & company data: profile photo, team members, company logo, branding.
- Customer Data you submit: jobs, schedules, inventory, cashflow records, customer contacts, files (e.g., job photos, mentor uploads).
- Support communications: messages you send to us via email or in-product chat.
- Usage & telemetry: pages visited, features used, error logs, device identifiers, IP address, approximate location, browser/OS metadata.
- AI inputs and outputs: prompts you submit to AI features and the responses returned.
We do not collect or store your full payment card details. Payments are handled by our Merchant of Record, Paddle.com, which collects payment data directly.
2. How We Use Personal Data
- Provide the Service — authenticate you, store your data, run the features you request (contract performance).
- Customer support — respond to your questions and resolve issues (contract performance / legitimate interests).
- Security & fraud prevention — detect abuse, secure accounts, prevent fraud (legitimate interests / legal obligation).
- Product improvement — diagnose errors, improve performance and UX (legitimate interests).
- Billing & compliance — manage subscriptions, taxes, and invoicing via Paddle (contract performance / legal obligation).
- Marketing — send product updates and tips. You can opt out anytime (consent / legitimate interests).
3. Who We Share Data With
- Service providers / subprocessors: cloud hosting, database, AI model providers, email delivery, analytics, error monitoring, and customer support tooling — under contracts that require appropriate confidentiality and security.
- Merchant of Record (Paddle): for sale of subscriptions, billing, tax compliance, invoicing, and refund handling.
- Professional advisers: legal, accounting, and audit firms when needed.
- Authorities: where required by law, court order, or to protect our rights and users.
We do not sell personal data.
4. Data Retention
We keep personal data only as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. When you delete your account, we delete or anonymize Customer Data within a reasonable period unless retention is required by law (e.g., billing records).
5. Your Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, port, or object to the processing of your personal data, and to withdraw consent. To exercise these rights, email info@pplnsystems.com. You may also lodge a complaint with your local data protection authority.
6. Security
We use appropriate technical and organizational measures to protect personal data — including encryption in transit, encrypted storage, access controls, and audit logs. No system is 100% secure; please use a strong, unique password.
7. International Transfers
Personal data may be processed outside your country, including in the United States. Where required, we use appropriate safeguards such as Standard Contractual Clauses or rely on adequacy decisions.
8. Cookies
We use essential cookies to keep you signed in and remember your preferences, and limited analytics cookies to understand product usage. You can manage cookie preferences in your browser settings.
9. Children
The Service is not directed to children under 16, and we do not knowingly collect their data.
10. Changes
We may update this Privacy Notice. Material changes will be communicated by email or in-product notice before they take effect.
